! SUMMARY:
Provide administrative support companywide that includes, but is not limited to: facilities, records, mail, office equipment, supplies, printed materials/forms, reception, indexing and, scanning documents, handling incoming calls, etc. while providing customer service to internal and external customers.
Essential Functions:
1. Ensure incoming and outgoing mail is opened, sorted and prepped timely and efficiently according to established procedures.
2. Operate all job-related office equipment proficiently, which may include but not be limited to: copiers, scanners, computers, fax, mail, telephone and headsets.
3. Demonstrate attention to detail in a fast paced environment by exhibiting timeliness, and accuracy in documentation and data when processing claim or policy documents; i.e. indexing documents, setting up and maintaining new claims, scanning documents, etc.
4. Maintain high standards and measures des! pite pressing deadlines.
5. Record personal performance statistics through tracking applications and spreadsheets.
6. Research issues and perform appropriate action.
7. Ascertain customer needs and guide to efficient and cost-effective solutions.
8. Respond to internal and external customer needs. (Policyholders, health care providers, injured workers, attorneys, agents/brokers, etc.)
9. Engage internal customers and vendors professionally.
10. Act in accordance with policy, procedures, statues and laws, as applicable.
11. Participate as a team member by working closely with co-workers and supporting group decisions and company goals.
12. Troubleshoot equipment problems to determine cause and correct if possible; if not, place service call and follow-up with vendor.
13. Collaborate with other departments by handling incoming calls in the Customer Support Center, assisting mail services, etc. Co! mpleted appropriate documentation in a timely and accurate manner.

14. Probe customers to determine their specific needs and demonstrate customer service to ensure customer satisfaction and /or resolve customer issue.
15. Take initiative to research issues and make suggestions for appropriate action.
16. Engage external customers professionally.
17. Utilize multi-factors in decision-making that could cause financial impact.
18. Review facts and weigh options when making recommendations or solving problems.
19. Manage multiple functions simultaneously.
20. Offer constructive feedback to supervisor on responsibilities that may be performed more effectively or efficiently.
21. Utilize internal and external resources to improve knowledge and skill base within your department or other departments in Administration.
22. Perform other duties as assigned or situation dictates.
Working Conditions:
- Working conditions are normal for an office env! ironment, including use of PC, keyboard, telephone and headset.
- High paced document processing environment with the ability to multitask and operate office machinery
- High noise level occurs in areas when larger equipment is in use.
- Must be able to bend, squat, kneel and lift up to 40 lbs.
- Extensive walking, standing and sitting are required.
- Heavy telephone traffic with utilization of headsets
- Ability to work after hours and on weekends, as required.
Education Requirements:
Minimum
- High school graduate or equivalent.
Minimum
- Communicate proficiently and professionally in verbal and written form.
- Possess intermediate computer skills (MS Outlook, Word Excel)
- Work independently with minimal supervision
- Interact effectively ! and professionally with all levels of employees

- Ability to conduct business efficiently and effectively over the telephone utilizing proper etiquette
