JOB DESCRIPTION:
Position Responsibilities

POSITION SUMMARY: The Events and Communications Specialist position requires a large amount of research to create the event. You will consult with Managers to discern what overall look and feel they would like for their event. You may need to make yourself familiar with previous events and vendors to do the appropriate planning. You will visit different venues to judge the overall attractiveness and suitability. You will be responsible for coordinating arrangements for food, beverages, decorations, musicians, serving staff, speakers and photographers and any other requirement of Managers. You will present a proposal to a Manager (s)! for final approval before putting all of the plans in motion.!

As an Event and Communications Specialist, you will spend a great deal of time in an office making phone calls and planning the logistics of the event. Travel will be necessary to view different venues to qualify the location for the event. Your job will require that you coordinate several tasks at one time and meet deadlines; often prioritizing and balancing multiple tasks and deadlines. Work hours can be long during the period leading up to an event. Some aspects of the job require physical stamina, since you may have to walk or stand for long periods or carry supplies to the venue.

The Event and Communications Specialist will create the event through planning, organizing, directing, controlling, coordinating, and supervising the various components that together form a successful event. This requires a great deal of skills, like multitasking, quick decision making, and effectively communicating with the Managers and other parties involved.

E! SSENTIAL FUNCTIONS AND RESPONSIBILITIES:
Depending upon the type of event, or the level at which the event is being organized; there may be certain variations in the job description. However, the standard duties and responsibilities that go along with this designation are listed as follows.

To understand and comprehend the exact needs of the Manager.

To start with the event planning in advance. For example, large-scale events, like outdoor functions and Holiday Parties may require you to book the venue, caterers, transportation, and other requirements of the Manager months in advance.

To negotiate and acquire lowest quotations from the service providers for the event. This is necessary to ensure that the entire event takes place within the budget of the Manager.

To inspect and ensure each and every detail of the event as per the Manager's wishes. This requires the planner to coordinate with the Manager and the service providers.
To ensure the timely availability of supplies and services this! may include: marketing of events to back of house (postings in house and in pre-shift), security, transportation, and audio-visual equipment, etc.

To synchronize all the elements needed in the event in a systematic manner. This requires dealing with the service providers in a professional, yet cordial way.

To supervise the final event and make sure that everything is happening exactly in the same manner as the Manager expected it to be. If there are any problems, the planner should be ready with plan B. Confidence and quick decision making is needed for this task.

To meet different people invited in the event, and take feedback from them regarding their experience and satisfaction.

To make payments to the various service providers after the event is over, and ensure that everybody gets their due amount in time.

Various administrative tasks (writing documents, mailings, data entry, mail merge and record/file keeping).

Co! mmunicating with numerous kinds of people and personalities via telephone, email and face-to-face interaction.

Ability to work with multiple departments.

Event set-up and tear down.

Coordinate and carry out event activities (contests assist with training, awards, entertainment, etc.).

Writing proposals for special guests/Members of Leadership to invite them to come to our events.

Assembling and mailing information packets about our events.

Brainstorming and writing up proposals for new projects/ideas.

Creating and printing large quantities of signs.

Creating forms/sign-up sheets for various activities.

Proof reading.

Compiling and distributing guest credential packets.

Research/Internet Searching.

Creating maps for each event.

Ordering supplies when needed.

Lamination.

Writing articles/information for pre-shift/back of the house.

He! lping out other staff members when needed and coordinating volunteers. !

Meets the attendance guidelines of the job and adheres to regulatory, departmental and company policies.

EDUCATION and/or EXPERIENCE:
Required:
Experience in this career in organizing similar events; a minimum experience of one (1) - three (3) years in this or very similar field.

Classroom facilitation.

High school diploma or equivalent; higher education is a plus.

Must be able to read, write and speak English.

Preferred:
Previous casino and or hospitality experience.

A bachelor's degree in subjects, like hospitality management, business communication, public relations, English, customer service, etc.

This may be supplemented by courses offered by various educational institutes in event planning and management.

An affiliation or accreditation is with an Event Planning Organization.
