SUMMARY:
Provide professional administrative support to all employees via ECARE Line and ECARE mailbox which may include but not limited to: scheduling and overseeing vendor maintenance, records, mail services, imaged document production, records management storage (internal/external), ordering of office supplies and centralized distribution, travel arrangements to include hotel and car rental and other services needed to serve our employees in our organization in a timely, cost effective and efficient manner.

ESSENTIAL FUNCTIONS:
1. Utilize basic office equipment proficiently which may include but not limited to: computer, copier, scanner, fax, telephones and headsets.

2. Understand and demonstrate an ability to relate professionally with management and employees in both normal circumstances and difficult situations.

3. Demonstrate accuracy, thoroughness and orderliness in performing work assignments in a timely manner.

4. Respond positively to customer needs and guide toward efficient and/or cost effective solutions with regards to travel arrangements.

5. Effectively monitor established inventory supplies, ensuring appropriate levels are maintained in all branches.

6. Act in accordance with company policies, procedures, statutes and laws as applicable.

7. Respond to internal and external customer needs (employees, policyholders, health care providers, injured workers, attorneys, agents/brokers).

8. Take initiative to research issues and make suggestions for appropriate action.

9. Effectively manage multiple tasks simultaneously and seek creative alternatives if needed, ensuring the success of the department at all times.

10. Recognize the importance of department quality standards while meeting departmental goals.

11. Organize, input, assemble, and distribute documentation/materials in accordance with established deadlines.

12. Display sound judgment in managing and controlling expenses that are in the best interest of the company.

13. Ability to probe customers to determine their specific needs and demonstrate high-level customer service to ensure customer satisfaction and/or resolve customer issues.

14. Record personal performance statistics as defined by balanced score card and adhere to established quality standards.

15. Participate as a team member by working closely with co-workers and supporting group decisions, department and company goals.

16. Perform other duties as assigned or as a situation dictates.

WORKING CONDITIONS

  • Working conditions are normal for an office environment, including use of PC, keyboard, telephone and headset.
  • Must be able to bend, squat, kneel and lift up to 40lbs.
  • Extensive walking, standing and sitting are required.
  • Heavy telephone traffic with utilization of headsets.
  • Ability to work after hours and on weekends, as required.
  • Minimal travel (less than 5%) typically by car, airplane and public (i.e., taxi, BART)
MINIMUM QUALIFICATIONS / KNOWLEDGE, SKILLS & ABILITIES

  • Must be able to read, write and communicate in English.
  • Communicate professionally in both verbal and written form.
  • Customer Service experience
  • Work independently with minimal supervision.
  • High school graduate or equivalent.
  • Strong computer skills (MS Outlook, Word, and Excel) plus other system/program experience.
  • Interact effectively with all levels of management and employees.
  • Perform multiple tasks simultaneously.
  • Prioritize, sort and organize.
  • Detail orientated with a high degree of accuracy.
  • Ability to learn new programs and processes.
  • Valid driver’s license
PREFERRED, BUT NOT REQUIRED

  • Associate’s degree
